Privacy Policy
What we collect, why we collect it, how long we keep it, and how to make us delete it.
Last updated: 23 October 2026
1. Who is responsible for your data
protennisteam.com is operated by Mass Density, Inc. ("Pro Tennis Team", "we", "us"), Florida, United States. We are the controller of the personal information described here. Contact us about anything on this page at privacy@protennisteam.com.
2. What we collect
Information you give us
- Consulting request form: your name, the player's competitive level, and whatever you write in the message field.
- Contact form and email: your name, email address, and the content of your message.
- Newsletter signup: your email address.
- Clients: during an engagement you may share schedules, budgets, training information, team details, and health or injury context. We treat this as confidential and use it only to deliver the work.
- Merchandise orders: your name, shipping address, and order details. Payment card details go directly to our payment processor — we never see or store your full card number.
Information collected automatically
- IP address, browser and device type, operating system, referring page, pages viewed, and time on page, via server logs and analytics.
- Cookie identifiers, as described in section 5.
What our free tools do
The Team Builder, Tour Budget Calculator, Sponsor Pitch Builder, Training Schedule Planner, and Trivia Game run in your browser. The figures you type in are not sent to us or stored on our servers unless you explicitly choose to email yourself the result, in which case we receive the email address you give us.
3. Children's privacy
We work with families of junior players, but this Site is directed at adults. We do not knowingly collect personal information from anyone under 16. If you are a parent or guardian and believe a child has given us information, email privacy@protennisteam.com and we will delete it promptly. When a parent shares information about a minor player with us as part of an engagement, we process it on the parent's instruction and keep it confidential.
4. Why we use it, and our legal basis
- To answer enquiries and deliver consulting — necessary to perform our contract with you, or to take steps before entering one.
- To send our newsletter — your consent, which you can withdraw at any time.
- To run and secure the Site, and to understand what content is useful — our legitimate interest in operating and improving a functioning website.
- To fulfil merchandise orders — necessary to perform our contract with you.
- To meet tax, accounting, and legal obligations — compliance with a legal obligation.
We do not sell your personal information, and we do not share it for cross-context behavioural advertising.
5. Cookies
We use a small number of cookies and similar technologies:
- Essential — needed for the Site to work, to remember your cookie choice, and for basic security. These are always on.
- Analytics — aggregated statistics about pages visited and traffic sources, so we know what to write more of. These load only if you accept them.
- Preferences — remember choices such as a closed banner, stored locally in your browser.
You can accept or decline non-essential cookies using the banner shown on your first visit, change your mind by clearing this site's data in your browser, and block or delete cookies entirely in your browser settings. Blocking essential cookies may break parts of the Site.
6. Who we share it with
We share personal information only with service providers who help us run the business, and only as far as they need it. These typically include:
- Our website host and content delivery network.
- Our email and newsletter platform.
- Our analytics provider.
- Our payment processor and merchandise fulfilment partner.
- Our accountants and, where required, our legal advisers.
We may also disclose information where the law requires it, to enforce our Terms, to protect our rights or someone's safety, or as part of a business sale or reorganization — in which case we will tell you.
7. International transfers
We are based in the United States and our service providers may process data in the US and elsewhere. If you are in the UK, EEA, or another region with data transfer rules, your information may be transferred outside your country. Where that happens we rely on appropriate safeguards such as standard contractual clauses.
8. How long we keep it
- Enquiries that don't become engagements: up to 24 months, then deleted.
- Client records: for the engagement plus 7 years, to meet tax and accounting obligations.
- Newsletter subscribers: until you unsubscribe, plus a suppression record so we don't email you again by mistake.
- Server logs and analytics: typically 14 to 26 months.
9. Security
We use HTTPS across the Site, limit access to client information to people who need it, and choose reputable processors. No method of transmission or storage is perfectly secure, so we cannot guarantee absolute security — please don't send sensitive documents such as passports or financial statements through a web form.
10. Your rights
Depending on where you live, you may have the right to:
- Ask what personal information we hold about you and get a copy.
- Have inaccurate information corrected.
- Have your information deleted.
- Object to or restrict certain processing.
- Withdraw consent at any time, including by clicking unsubscribe in any email.
- Receive your information in a portable format.
- Not be discriminated against for exercising these rights.
To exercise any of these, email privacy@protennisteam.com. We will respond within the timeframe required by the law that applies to you — generally 30 days — and may need to verify your identity first. If you are in the UK or EEA you may also complain to your local data protection authority; if you are in California you may designate an authorised agent to act for you.
11. Do Not Track and global privacy controls
Browsers send Do Not Track signals inconsistently and there is no agreed standard, so we do not respond to them. Where required by law, we honour recognised opt-out preference signals such as Global Privacy Control.
12. Changes to this policy
If we change this policy we will update the date at the top of the page. Material changes will be announced on the Site and, where we have your consent to email you, by email.
